Access and arrival
What to expect before your booking, how access works on the day, and the checks to complete when you leave.

Before your hire
- Access codes and an emergency contact number are normally emailed around three weeks before your hire date.
- Let the bookings co-ordinator know in advance if you need extra crockery, round tables or access to the locked corridor and storage rooms.
- Larger bookings may be asked for an £80 damage deposit, invoiced with the hire charge and returned after the booking once breakages have been checked.
Arrival
- Two key boxes sit on the post outside the main entrance.
- The top box holds the front door key.
- The bottom box is used when you need access to the locked corridor and storage rooms as well as the main door key.
- The alarm panel is on the wall to the right as you enter the building.
- Use the access code supplied before your booking to disarm the alarm.
During your booking
- Heating is normally pre-set to come on for your booking.
- The thermostat is on the wall to the right as you enter the main hall.

- If you are relying on stage audio, lighting or a microphone, use the sound and lighting guide.
Need more than the standard hall setup?
Please give advance notice if you need stored crockery, extra chairs, the large round tables or wider access to the storage areas. That helps the trustees issue the correct key-box instructions before your booking.
Leaving the Hub
- Reset the alarm using the code and final confirmation button supplied with your booking.
- Lock the front door.
- Return the keys to the correct box.
- Scramble or reset the visible code so the keys cannot be accessed.
- Report any breakages or damage to bookings@flaxbourtonhub.org.
